Project Terminology

Overview

  • Project name
    • This is a free text field to enter a project name.
    • If a project is created from a sales order, then by default the project name will have both the customer and the sales order number on it. This can be edited and overridden as required.
    • Project name is a compulsory field.
  • Project manager
    • Allows users to select the user/project manager responsible for delivering the project.
    • It is not compulsory for projects to have a project manager, however assigning a project manager will ensure that the project appears on the calendar view in Flowlens.
  • Sector
    • An optional field on projects, used for categorisation and reporting.
  • Status
    • A project has two statuses: 'Open' and 'Complete'. When a project is created it will be assigned a default status of 'Open'.
    • Once all the job cards within the project are closed or cancelled , i.e. have reached the end point of their lifecycle, the project can be closed.
    • Once closed, no more job cards can be added to the project.
    • Once closed, a project cannot be reopened.
    • Users can still enter and edit timekeeping records on projects after they are closed.
  • Start date
    • Use this field to schedule a project start date.
    • It is not compulsory for projects to have a start date, however assigning one will ensure that the project appears on Flowlens calendar view.
  • End date
    • Use this field to schedule an end date for the project.
    • It is not compulsory for projects to have an end date, however assigning it one will ensure that project appears on the Flowlens calendar view.
  • Budget
    • Use this to define the estimated material budget for the project.
    • It is an optional field.
    • If the actual material spent on the project exceeds the budget, it goes red in colour on the project overview screen, otherwise it will display as green coloured.
  • Time estimated
    • Use this field to define the estimated time spent on the project.
    • It is an optional field.
    • If the actual time spent on the project exceeds the budget, it goes red in colour on the project overview screen, otherwise it will display as green coloured.
  • Sales order
    • If a project is generated from a sales order, then this field gets the link to the sales order.
    • This cannot be edited or changed by the user.
  • Company
    • If a project is generated from a SO, then this field gets the link to the company of the SO.
    • This cannot be edited or changed by the user.
  • Contact
    • If a project is generated from a sales order, then this field gets the link to the contact of the sales order.
    • This cannot be edited or changed by the user.
  • Sales Order Value
    • If a project is generated from a sales order, then this field gets the total sales order.
    • This can not be edited or changed by the user.

Manufacturing details

  • Material cost
    • This is the sum of material cost of all the job cards in the project.
    • When stock is reserved on any project job card, this field is updated to reflect the running total material cost of the whole project. See the job cards section to understand how material cost is calculated on job cards.
    • It cannot be edited/updated directly on the project.
  • Time cost
    • This is the sum of time cost of all the job cards in the project, along with any times that are recorded directly on the project, rather than any of the job cards.
    • When time is recorded on any job cards in the project, this fields gets updated to reflect the running total time cost of the whole project.
    • It cannot be edited/updated directly on the project.
  • Project parts
    • These define all the parts that are being manufactured in the project. Adding project parts to a project allows users to create job cards to manufacture the parts.
    • If any project part is 'configurable', then they can be configured here before job cards can be generated.
    • If a project is related to a sales order, then the moment the project is generated it is assigned any associated parts and quantities defined in the sales order's lines. These can be deleted, or new project parts added before generating any job cards.
    • Once a job card is generated for a project part, it can not be deleted.
  • Project assets
    • This section lists all the assets that are being manufactured or being worked on in the project.
    • If any of the project parts 'Generates unique assets', assets will be added to the project the moment job card is created from those project parts.
    • Example: If a part was to make three phones (phones being asset-able parts), upon creating a job card for the manufacturing of 3 phones, 3 assets will be added in the project asset section
  • Rework existing assets
    • Allows users to associate existing assets and refurbish/rework them using job cards.
    • This is a manual way of adding assets to a project
  • Project checklist
    • Project checklist is a checklist that can be created in the settings menu. It is one checklist that is applied to all projects in Flowlens.
    • It allows users to define checklist items, for e.g Complete, Drawing, Issue to Operations, Check QA etc, and assign users to those items.
    • Once an item is complete on the checklist, user can mark them as complete and/or record notes against them.
    • It is not compulsory for projects to have checklists, hence this can be used as needed.
